We’re looking for an exceptionally organized and proactive Project Manager / Project Coordinator to join our creative agency team. This role is key to ensuring seamless execution of partner-led social media and content production projects — working behind the scenes to make sure everything runs smoothly, on time, and with clarity.

You’ll work closely with:

  • An Account Manager who owns the client relationship and project performance
  • A Creative Producer who leads content creation and creative strategy
  • A Social Media Manager who develops and implements social strategies

    Your role is to drive the operational side of the project — managing timelines, coordinating tasks and resources, facilitating communication, and ensuring deliverables get where they need to go, when they need to get there.

Job responsibilities:

Project Coordination & Execution

  • Own the day-to-day execution of project plans, timelines, and task tracking
    Coordinate deliverables and schedules across creative, strategy, and account teams
  • Support production logistics, content delivery, and report preparation
  • Track project milestones and flag delays or blockers to relevant leads

Operational Support

  • Coordinate with Finance/Operations to arrange payments, contracts, and invoices
  • Help source and onboard freelance talent or external vendors alongside the Creative Producer & HR
  • Maintain shared workspaces (e.g., Notion, Asana, Google Drive) with up-to-date documentation and timelines

Team Communication & Workflow Management

  • Schedule and lead internal project check-ins and production syncs
  • Create and distribute meeting agendas and post-meeting action items
  • Ensure each stakeholder is informed, aligned, and supported
  • Organize the reporting process: compile data, coordinate inputs, ensure timely approvals, and deliver to the stakeholders

Risk & Issue Management

  • Proactively identify project risks or resourcing issues and escalate them with context and solutions
  • Help troubleshoot operational bottlenecks and ensure continuity across phases

Knowledge & Process Management

  • Own documentation and archiving of project materials and lessons learned
  • Assist in developing and improving production templates, workflows, and internal guides

Requirements:

  • Comfortable coordinating across creative, strategic, and client-facing teams
  • Passionate about supporting great work without being in the spotlight

Qualifications

  • 2–4 years of experience in project coordination or project management, ideally in a creative or marketing agency
  • Fluent English is required
  • Experience working in fast-paced, cross-functional environments
  • Familiarity with creative production and social media workflows

Familiarity with tools like Asana, Frame.io, Canva, Google Workspace, etc.
